To ensure the safety of all pets in our care, we require up-to-date proof of vaccinations. Keeping your records current means faster check-ins, no booking interruptions, and complete peace of mind for you and your groomer.

Required Vaccinations
Dogs:
- Rabies: Required by law in most jurisdictions. Must be current at the time of your appointment.
- Distemper/Parvo (DHPP): Required. Protects against multiple serious diseases.
- Bordetella (Kennel Cough): Highly recommended, and required if your pet will be in a shared space (e.g., daycare, boarding, or play zones).
Cats:
- Rabies: Required.
- FVRCP: Required. Core vaccine for feline viral rhinotracheitis, calicivirus, and panleukopenia.
Note: Your salon may require additional vaccinations depending on the services offered. Check with the front desk or look for specific requirements listed during the booking flow.
How to Upload Records
- Go to "My Pets" and select the pet.
- Click the "Vaccinations" tab.
- Click "+ Upload Record".
- Snap a photo of the document or select a file from your device. Accepted formats: JPEG, PNG, PDF (max 10MB).
- Enter the vaccination name and expiration date as shown on the record.
- Click "Submit".

Verification Process
After uploading, your record goes through verification:

| Pending | Your record has been uploaded and is being reviewed. This usually takes less than 24 hours. |
| Verified | Your record has been approved. You're good to book! A green checkmark appears on your pet's profile. |
| Rejected | There was an issue with your upload (e.g., blurry photo, illegible dates, expired record). You'll receive a notification explaining what needs to be corrected. |
| Expired | The vaccination's expiration date has passed. You'll need to upload a new, current record. |
Some salons also support direct verification with your veterinarian, where your vet clinic sends vaccination records electronically. If your vet participates, you'll see a "Request from Vet" option — just enter your vet's name and we handle the rest.
Renewal Reminders
The system automatically tracks your pet's vaccination expiration dates and sends you reminders before they expire. You'll receive notifications:
- 30 days before expiration: A friendly heads-up to schedule your vet visit.
- 7 days before expiration: A reminder that your record will expire soon and upcoming bookings may be affected.
- On expiration: A final notice that the record is now expired and must be updated before your next appointment.
How Vaccinations Affect Bookings
Important: You cannot check in for your appointment if a required vaccination (such as Rabies) is expired or unverified. Please upload records at least 24 hours before your visit to allow time for verification.
If a required vaccination is missing or expired at the time of booking:
- Online booking will show a warning message explaining which vaccinations need updating.
- You can still book the appointment, but you must upload valid records before check-in.
- The salon staff will see the vaccine status when reviewing bookings, and may contact you to arrange records before your visit.
Troubleshooting
- "My upload was rejected" — Check the rejection reason in your notification. Common issues: blurry photo, expiration date not visible, wrong pet name on the document. Retake the photo with better lighting and re-upload.
- "I uploaded records but still see a warning when booking" — Your records may still be in "Pending" verification. Allow up to 24 hours. If it's been longer, contact the salon.
- "My vet sent records directly but they're not showing" — Direct vet verification can take a few business days. Check back or contact the salon to confirm receipt.
- "I vaccinated my pet but don't have the paperwork yet" — Contact your vet for a copy. Most clinics can email or fax records the same day. You can also ask the salon to grant a temporary exception for walk-in appointments.
